EURO2020 Volunteer and Volunteer APP Privacy Policy

1. Where can you find information relating to data processing? 

Hungarian Football Federation, (hereinafter: LOS or HFF) prepared this policy in accordance with the General Data Protection Regulation (EU) 2016/679 (hereinafter: GDPR or Regulation) with the specific purpose of making data processing operations transparent in an easily understandable way. 

This policy contains the main information about the specific processing (legal ground, purpose of processing, scope, duration of the data processed and your rights) which supplements the document “General information on data processing” which explains your rights, how you can exercise them, the obligations concerning the security of personal data and the rules for the modification of the policy. ​The document “General information on data processing” is available ​here.​ 

2. Introduction of processing cases and the categories of data processed

This Privacy Policy applies to LOS’s processing of Your personal data when You apply to Volunteer on UEFA Volunteer website which links to this Privacy Policy. This means information that identifies You personally such as your name, location, photo and contact details or data that can be linked with such information in order to identify You directly or indirectly.

Volunteer APP:

By accessing the application (APP) you provide your last name, first name and date of birth to LOS voluntarily. The system will send you your Application Tools (such as login name and passport). LOS will use the APP to communicate with you. During this, approvals or refusals of extra missions, clock-in and clock-out times of missions and extra missions will be registered, while using the APP it will register your real-time location data in order to provide appropriate Volunteer Submissions. 

Communication with HFF after the EURO2020 and direct marketing data

You are entitled and welcome to provide your first name, last name and e-mail address to HFF for further communication for EURO2020 and regarding coming recruitment and/or for direct marketing purposes. The use of these data for these purposes based on your free consent which may be withdrawn any time. 

3. Duration of processing 

HFF will handle the personal data which needs to be handled for contractual purposes (Name of the Volunteer, Mother’s name for Hungarian Volunteers, Permanent and Temporary Residence address, Date of Birth and Place of Birth, Signature, Copies described in Section 2.) to 10 years after the end of our contractual relationship. 

Personal Data of the Volunteers will be kept in the UEFA system as well, until 30 days after the last match of UEFA EURO2020 organized in Budapest.

Personal Data of the already rejected applicants were deleted permanently from our (and from UEFA) system on the 31th of May 2020. 

Personal data of the rejected applicants related to the new recruitment will be kept until 30 days of the closure of the selection process.

The data related to the Volunteers APP will be stored in the APP until you withdraw your consent by deleting your account, without that, the data – with all the data which are not necessary after the deployment. 

The data if you provide them to HFF for communication purposes and/or for direct marketing purposes for using even after the EURO2020, will be handled for these purposes to 3 days after withdrawing your consent.  

4. Purpose of processing 

The purpose of the data handling is to create and fulfil the Volunteer contract that include personal interview, selection process, accreditation, control the Volunteers work.  

The purpose of the data handling related to the Volunteers APP is to identify you, communicate with you and for such as approvals or refusals of extra missions, clock-in and clock-out times of missions and extra missions. The recording of clock-in times requires the use of real-time location data in order to provide appropriate Volunteer Submissions.

The data voluntarily provided for marketing and/or communication purposes will be used solely for these purposes, namely sending offers and newsletter end/or communicate with you related to EURO2020 and coming events and Volunteer possibilities. 

5. Data recipients, categories of recipients 

In the absence of the request by the authority or any report made to the police, HFF shall not transfer the personal data processed to anyone, only its processors shall have direct access to them. 

Your name and your mobile number might be forwarded to the partners of LOS every time when it is necessary, mainly in the case when you will work with them and you need to find each other. 

Those participating in the activity as a processor: 

UEFA and its sup-processors, who operate the Volunteer website (https://applicantportal.enterprise.uefa.com) and the Volunteers APP. 

When you request Accreditation for any of the events, some of your personal data will be forwarded to the Hungarian Police for background screening and sending back to UEFA. The connecting data privacy guide is available here.

6. Source of personal data 

Data are provided by the Volunteer on the https://applicantportal.enterprise.uefa.com website and if he/she decided to use the Volunteers APP on the platform of a third party. 

7. Legal ground of processing 

The legal ground of the data handling is the Article 6 section (1) point b) of the GDPR: processing is necessary for the performance of a contract to which the data subject is party or in order to take steps at the request of the data subject prior to entering into a contract.

The legal ground of data handling related to the Volunteers APP and to non-obligatory communication purposes after the EURO2020 and for marketing purposes is your free consent, Article 6 section (1) point a) of the GDPR: the data subject has given consent to the processing of his or her personal data for one or more specific purposes.

8. Rights of the data subject 

Under the Regulation, the data subjects shall have several rights (e.g.: right to request information, right to access to the personal data, right to erasure and right to be forgotten, right to restriction, right to withdraw consent, right to go to supervisory authority and court), however, the information on how and under what legal ground a specific right can be exercised is included in the document ​General information on data processing.​ 

On behalf of underage data subjects under the age of 16, their rights can be exercised by their legal representative; on behalf of underage data subjects over the age of 16, their rights can be exercised by their legal representative.
